Attendance templates for Google spreadsheets

Google Sheets is the perfect place to track attendance. If you’re looking for an attendance template that you can simply copy and start using right away, you’ll find exactly what you need on this page!

Different Versions of Attendance Templates Explained

Each of the templates below will allow you to track attendance for a year and up to 100 students. On sheets that contain “Shaded Weekends,” give the sheet a moment to adjust the conditional formatting after entering the start date of the period. All templates will display the total number of students and the current date at the top… with automatic coloring of the daily attendance status… and the display of the day of the week, not just the date.

  • Simple Attendance Template: This simple template allows you to track daily attendance without any calculations.
  • Simple Attendance Template (Shaded Weekends): This template is the same as the previous one, but with conditional formatting that shades weekends in gray, making it easier to see the weeks on the calendar.
  • Calculated Attendance Template: This template allows you to track daily attendance and also calculates attendance rates! It shows how many days the student has been present, how many days they were absent, and the attendance rate as a percentage.
  • Calculated Attendance Template (Shaded Weekends): This template is the same as the previous one (with attendance rate calculation), but it shades Saturdays and Sundays (or the days you choose) in gray.

Note: On each of the templates, cells that should not be modified will display a warning if you try to edit them.

Setting the Start Date on the Timeline

To set the timeline on the attendance tracking tools, all you have to do is enter the start date. After entering the start date on the timeline, all other dates will automatically fill in. Make sure to specify the year when typing a date, as otherwise, Google Sheets will assume you want the current year (which may sometimes be the case, but not always).

For example, if you want the first date on the timeline to be February 1, 2024, type “02/01/2024”.

It’s important to set the start date on the timeline, especially on templates that calculate attendance rates, as the calculations will take into account the period of time from the first date on the timeline.

The instructions for each template will tell you which cell to enter the start date of the timeline.

List of Holidays for Calculated Versions

On the attendance templates that calculate attendance rates, you now have the option to exclude holidays from the calculations. On the “Settings” tab, in column G, enter the dates of the holidays you want to exclude from the attendance calculation, as shown in the image below.

The holidays you specified will be highlighted in yellow on the attendance tracking timeline.

For each holiday date, the possible days/expected days for all students will be reduced by 1. Only enter holidays that do not fall on weekends/custom chosen weekends, as those days are already excluded from the calculations. In other words, only list holidays that fall on weekdays.

Custom Weekend Selection

The attendance tracking now also allows you to select which days of the week represent the “weekend” in your school. You can select up to 6 days for this option.

On the “Settings” tab, simply select up to six days of the week by checking the boxes in column B, and these selected days will act as the “weekend”.

The default value for this option is “Saturday” and “Sunday”.

Marking Students as “Present,” “Absent,” and “Excused”

There are several ways to mark a student’s attendance or absence in the attendance templates. You can also mark a student as “Excused,” which will exclude a day from the student’s attendance requirement.

  • To mark a student as present, type the letter “P” or the number “1”.
  • To mark a student as absent, type the letter “A” or the number “0”. You can also leave the cell empty.
  • To mark a student as excused, type the letter “E”.

You can use uppercase or lowercase letters.

Acceptable characters for “Present”:

  • P
  • p
  • 1

Acceptable characters for “Absent”:

  • A
  • a
  • 0
  • (Leave the cell empty)

Acceptable characters for “Excused”:

  • E
  • e

Alternative method for “Excused”:

Marking a student as “E” / excused will exclude a day from the total number of expected days for attendance. But if you wish, you can mark a student as excused and have the calculations count them as present or absent, depending on how your school operates.

  • EA (Excused but counts as “Absent”)
  • EP (Excused but counts as “Present”)

This way, you will see the letter “E” in the cell to indicate that the student was excused, but if you also include the letter “A” in the cell, the calculation will count them as “Absent” in the attendance calculation, and if you include the letter “P” in the cell, the calculation will count them as “Present” in the attendance calculation.

Conditional Formatting of Attendance Tracking

The attendance tracking templates feature several types of conditional formatting that automatically color certain cells on your sheet based on certain conditions.

  • The current day on the timeline is highlighted in green.
  • Holiday dates on the timeline are highlighted in yellow.
  • When a student is present on a given day, the cell turns green.
  • When a student is absent on a given day, the cell turns red.
  • If a student is marked as “Excused,” the cell turns yellow.
  • Some templates also have an additional feature that shades columns representing weekends (Saturdays and Sundays) in gray.

Simple Attendance Tracking Template Without Calculations

This version of the Google Sheets attendance template allows you to track and visualize attendance in a very simple way! This template now contains additional empty columns on the left that you can use as you wish, as well as a section at the top that shows the acceptable characters for each attendance status.

Instructions:

  1. Enter the names of the students in column A.
  2. Enter the start date for the timeline in cell E4.
  3. Record the attendance of each student, each day.

Calculated Attendance Tracking Template

In addition to allowing you to track attendance, this version of the Google Sheets attendance template will automatically calculate the attendance rate for each student! This template now contains additional calculated columns on the left that display the total number of excused days, the total number of holidays, and much more! There is a section at the top that shows the acceptable characters for each attendance status.

Do not list holidays that fall on weekends/custom chosen weekends, as those days are already excluded from the calculations.

Instructions:

  1. Enter the names of the students in column A.
  2. Enter the start date for the timeline in cell J4.
  3. Record the attendance of each student, each day.
  4. Optional: Select custom weekend days on the “Settings” tab (column B).
  5. Optional: List holiday dates to exclude on the “Settings” tab (column G).
