Setting Up Google Sheets Integration

Step 1: Connect to Google Sheets

Connecting to Google Sheets is as simple as a few clicks. Just follow these steps:

  1. Go to the “Integrations” tab and select “Google Sheets” from the list.
  2. Click on “Connect to Google Sheets”.
  3. You will be redirected to the Google login page. Choose the account you want to connect to Delighted Templates.
  4. Follow the on-screen instructions to log in to Google Sheets.
  5. Select “Continue” and “Authorize” as prompted in the different permission and authentication windows.

Step 2: Adding Your First Rule

Once you’re connected to Sheets, it’s time to create your first rule. This rule will generate a new Google Sheets file and add new rows for your responses. Here’s how:

  1. Click on “+ Add a New Rule”.
  2. Choose the type of response you want to send to Google Sheets. For example, select “All responses”.
  3. Select “+ New Spreadsheet” and give it a name. For instance, “Basic Certification Performance”.
  4. Optional: Click on “Send a test” to populate the spreadsheet with a test response.
  5. Recommended: Fill in the existing data in the sheet by checking “Send one-off fill”.
  6. Click on “Save and Enable”.

Visualizing Responses in Google Sheets

Once the integration is set up, each field in the response will be represented by a column in Google Sheets. This includes both native response fields (e.g., Template Name, Template Type, Response ID, Response Timestamp, Name, Email, Response URL, Score, and Comment) and custom fields (e.g., Additional Questions Responses and Properties).

Every time a new response is collected in Delighted, a new row is added to the connected spreadsheets. This allows you to easily view and analyze your data in an organized manner.

Connecting Multiple Templates to the Same Google Spreadsheet

With Google Sheets integration, you can connect multiple templates to a single spreadsheet, providing you with a comprehensive view of your Delighted data. Here’s how it works:

All data from each template will appear in a unique tab within the connected spreadsheet, giving you a consolidated workspace. This allows you to effortlessly manage and analyze data from multiple templates in one place.

In the example below, we have linked eight templates used for our basic certification training and displayed the results in a single Google spreadsheet with eight separate tabs, one for each template.

To connect rules from multiple templates to the same Google spreadsheet, follow these steps:

  1. Open your first template, for example, “Basic Module 1 (5 Stars)”. Connect to the Google integration as explained in the Google Sheets integration setup above.
  2. Choose “+ Add a New Rule”, select “All responses” from the dropdown, choose “+ New Spreadsheet”, and give it a name, like “Basic Certification Performance”. Recommended: Click on “Send one-off fill”. Optional: Click on “Send a test”. Select “Save and Enable”.

  1. Access Google Sheets and open the new spreadsheet created by the integration to see the result! Note: You can rename a tab without disrupting the integration.

  1. Activate your second template, e.g., “Core Module 2 – (Thumbs Up)”, by selecting it from the template list, connecting, and linking it to Google Sheets as explained above. Choose “+ Add a New Rule”, select “All responses” from the dropdown, select the spreadsheet created in step 1 from the dropdown (e.g., “Basic Certification Performance”). Recommended: Click on “Send one-off fill”. Optional: Click on “Send a test”. Select “Save and Enable”.

  1. View the results in Google Sheets. Look for a tab for each template. Click on the tabs to switch between templates.
  2. Repeat step 3 to add more templates to the same spreadsheet! As you can see, we already have two down and six more to go. So let’s get to work!

I Received a Response. Why Can’t I See a Notification in Google Sheets?

By default, we include a 10-minute delay between receiving a response in the templates and creating a new row in Google Sheets. This delay allows respondents to leave comments before the synchronization starts.

Beyond this delay, the most common reason for a row not appearing is related to condition and specification rules for row creation. For example, if you use the rule “Only promoters who comment”, no row will be synchronized until a response meets that exact specification.

Why Can’t I Sync Data with Any Spreadsheet in My Google Sheets Account?

For security reasons, our integration cannot display spreadsheets in your Google Sheets account that it did not create.

As a result, you cannot sync data with pre-existing spreadsheets created outside of the Delighted Google Sheets integration.

Can I Sync Data Between Delighted Templates and Google Sheets in Different Ways?

Absolutely!

Please note that these functions are supported outside the Delighted + Google Sheets integration.

Is There a Limit to the Number of Responses that Can be Integrated into Google Sheets?

Yes, there is a limit of 20,000 responses that can be integrated into Google Sheets.

If you see an error message in the last cell below your integration stating, “To avoid exceeding Google Sheets limits, this fill has been limited to 20000 rows,” it means that the amount of response data you are trying to sync exceeds the limits of the Google Sheets API. In this case, you will need to import your historical data by exporting it from your dashboard, importing it into the Google sheet, and then relying on the Google Sheets integration to fill in future responses.
