Magical Keyboard Shortcuts

Did you know that you can use keyboard shortcuts to work more efficiently in Google Sheets? It might feel a little clumsy at first, but persevere, and you will be rewarded with enhanced productivity. You can find all the available shortcuts by going to Help > Keyboard shortcuts. Here are my favorites:

Clear all formatting in a cell or range

Mac: ⌘ + PC/Chromebook: Ctrl +

Insert the current date in a cell

Mac: ⌘ + ; PC/Chromebook: Ctrl + ;

Select all data in a table

Mac: ⌘ + A PC/Chromebook: Ctrl + A

Find and replace

Mac: ⌘ + Shift + H PC/Chromebook: Ctrl + H

Open the drop-down menu of a filtered cell

Mac: Ctrl + ⌘ + R PC/Chromebook: Ctrl + Alt + R

Quickly repeat your last action in a new cell

Mac: F4 PC/Chromebook: F4

Stay Informed of Changes

Keep an eye on changes in a Google spreadsheet by setting up notification rules to receive emails. You can find this feature in the Tools > Notification rules… menu. You can decide what triggers a notification and how they should be delivered (immediately or in a daily summary).

Alert for a Specific Comment

Comments are one of the most powerful collaboration features in Google Sheets. You can alert a specific person by adding their email address to a comment. To add a comment, right-click on a cell and choose “Insert comment” or use the Insert > Comment menu. You can then tag specific people in each comment, which means they will receive an alert for comment mentions.

Create Hyperlinks in Your Spreadsheets

Add hyperlinks to your Google spreadsheets to make information retrieval a breeze. You can add hyperlinks to different sheets or even directly to individual cells. It’s super easy to do. You don’t even need to write formulas yourself:

  1. Right-click on the cell you want to make clickable.
  2. Click on “Insert link.”
  3. Choose either “Sheets in this spreadsheet” or “Select a range of cells to link to.”

Quickly Freeze Panes

Keep your column headers in view by “freezing” the header row while scrolling through your data. This allows you to have your column headers in sight when working with your data. Traditionally, you can freeze panes via the View > Freeze menu. But here’s a faster method:

  1. Hover over the bottom of the column header letters until you see the hand icon.
  2. Click and hold the mouse button and drag the thick line downwards.
  3. Release when you reach the desired line level to freeze (in this case, just the first row).

This method also works for freezing columns!

Quickly Create a New Spreadsheet

Method 1

Instantly create a new spreadsheet by typing sheet.new in your web browser.

The only limitation is that the sheet is created in your Root folder, so you’ll need to manually move it to the desired folder.

Method 2

Create a new Google spreadsheet in the folder you’re currently in using Shift + S. If you have a specific folder open in Drive and want to create a spreadsheet in that folder, simply press the Shift + S shortcut when you’re inside that folder to create a new spreadsheet right there.
