Video how to download one sheet from google sheets

Google Sheets is a popular and top-notch online spreadsheet application that allows you to create, edit, and share spreadsheets with anyone you want. In Google Sheets, you can easily create multiple sheets (tabs) and you can also download the entire Google sheet in a variety of formats, including PDF, XLS, HTML, CSV, TSV, and ODDS, among others. However, you may encounter difficulties in downloading a specific sheet from Google Sheets or you may have trouble downloading any sheet from Google Sheets. If that’s the case, you’ve come to the right place. Let me guide you through the process of downloading individual sheets.

Why download a single sheet from Google Sheets?

Downloading a single page from a Google Sheets document has many advantages:

  • Share the sheet with someone without the original Google Sheets document: You can share the sheet with someone without a Google account or the source document by downloading it as a separate file.
  • Work offline on the sheet: Download the spreadsheet to work offline in Microsoft Excel or Apple Numbers.
  • Back up the page: You can back up the sheet by downloading it as a separate file.
  • Integrate the page with software: You can integrate the sheet with other tools by downloading it as a separate file.

Download a single sheet from Google Sheet

There are no direct methods to download individual sheets, but there are a few clever methods. Let’s take a look at these clever methods.

Method 1: Change the link manually

Each sheet in Google Sheets has a unique GID (Google Grid ID) that allows you to identify a specific sheet in the URL of the spreadsheet you’re using. Here’s what your sheet URL looks like:

https://docs.google.com/spreadsheets/d/1VHULcpzTw9kV2yWomtljtd9VWGINvT8CtPeJl2pE0T8/edit#gid=0

Now, let’s see how to download the specific URL.

  1. First, open the Google sheet containing multiple sheets.

  1. Click on the sheet you want to download.

Select one sheet in Google Sheets

  1. Next, your URL will look like this:
https://docs.google.com/spreadsheets/d/1VHULcpzTw9kV2yWomtljtd9VWGINvT8CtPeJl2pE0T8/edit#gid=726993854

Here, you simply need to replace /edit# with /export?format=xlsx& in the URL as shown below:

Convert /edit# to export?format=xlsx& in the URL
Fig. Converting /edit# to export?format=xlsx& in the URL

  1. Press Enter.

Now, this particular sheet will download in Excel format. If you want to download it in CSV format, replace /edit with export?format=csv. If you want to download it in PDF format, replace xlsx with pdf and your URL will look like this:

For Excel:

export?format=xlsx

For PDF:

export?format=pdf

This PDF can also be customized by adding additional parameters to the URL. We can include portrait, gridlines, and size in the PDF.

If you want to change the PDF orientation to landscape, here’s how:

export?format=pdf&portrait=false

If you don’t want gridlines, here’s how:

export?format=pdf&gridlines=false

If you also want to set the PDF page size, you can do so like this:

export?format=pdf&size=b5

Here, we are setting the page size to B5 for the PDF.

You can also combine all these sizes, orientations, formats, and gridlines in one URL. But note that each parameter is separated by an ampersand (&), as shown below:

export?format=pdf&portrait=false&size=b5&gridlines=false

Each value is set as follows:

  • format=pdf: This indicates that the exported file should be in PDF format.
  • portrait=false: This indicates that the exported document should be in landscape orientation rather than portrait.
  • size=b5: This indicates that the exported text should be printed on B5 paper.
  • gridlines=false: Indicates whether gridlines should be included in the exported text. It is set to false in this case, which means that gridlines will not be included.

Thus, adding this query string to a URL instructs the system to export the text as a PDF, in landscape orientation, on B5 paper, and without gridlines.

Method 2: Using the Copy to Spreadsheet option

In this case, what we’re going to do is turn each sheet into a separate spreadsheet, after which we’ll download it as we would for downloading the complete spreadsheet. Let’s do it.

  1. Go to the bottom of the Google spreadsheet and click on the down arrow icon on the sheet.

  2. Then, from the dropdown menu, click on Copy to > New Spreadsheet.

  1. Click on Open Spreadsheet from the pop-up window.

This will open the current sheets in a new Google spreadsheet.

  1. In this new Google spreadsheet, click on File > Download, and then select your choice (PDF, CSV, docs, xlsx, etc.).

Click on File > Download > Microsoft Excel (.xlsx)

Method 3: Using bookmarking techniques

This method works like an automated process. You just have to execute a bookmark to generate and download individual sheets.

  1. Click on the 3 dots in the top right.

  2. Click on Bookmark manager.

  1. Right-click on an empty area and create a new bookmark with a name like Download Specific Sheet.

Add new bookmark

  1. In the value, paste the following URL:
javascript:var webURL = window.location.href;if(webURL.indexOf('/edit#gid='))window.location.assign(webURL.replace('/edit#gid=','/export?format=xlsx&gid='));else alert('Invalid Google Sheet URL');
  1. Click OK.

That way, we have created a bookmark. This script takes the current URL of the browser and if it finds /edit#gid=, it converts it to /export?format=xlsx&gid= and if it doesn’t find /edit#gid=, it displays an invalid Google Sheets URL because every Google Sheets sheet URL contains /edit#gid=.

Now, let’s see how to download the sheet.

  1. Click on the sheet you want to download.

  2. Click on the 3 dots in the top right.

  3. Then, click on Bookmark manager. This will open a list of your bookmarks.

  4. Click on the “Download Specific Sheet” bookmark that we recently created.

  1. Now, the particular sheet you selected will begin to download.

Method 4: Using a Chrome extension

If you simply want a one-click solution to download the sheet, you can use a Chrome extension. For downloading single sheets from Google Sheets, I recommend the “Download This Gsheet” extension.

  1. First, download “Download This Gsheet” from here.

Click on the download button

  1. Then, it will appear in the toolbar.

  2. Next, open Google Sheets, then click on the sheet, and then click on the “Download This Gsheet” icon.
